AMS Marlow Limited – Privacy Notice for Landlords

The following information is provided to comply with General Data Protection Regulations.

What Data Is Collected:

Names, addresses, telephone numbers, email addresses, bank details, next of kin/emergency contact details.

Why Is It Collected & By Whom:

It is collected by AMS Marlow Limited to enable property management services to be delivered effectively, and to enable rental payments to be made.

What is the Lawful Basis for the Data Being Held:

The lawful basis for the data being held is:

  1. Legal Obligation; HMRC requires letting agents to hold data about landlords and
  2. Contract; to enable AMS Marlow Ltd’s contractual obligations to be met.
  3. Consent; specific consents are provided within the agreed Terms & Conditions.

Retention:

The data will be held for a duration of seven years following the end of the contractual relationship.  This is necessary to comply with the legal obligations AMS Marlow Limited has to HMRC.  Following the end of this seven year period, all data will be securely destroyed.

Sharing:

The data may be shared with; HMRC, Utility Companies, Local Authorities in connection with Council Tax, Tenancy Deposit Scheme and Professional Advisors (accountants, lawyers).

In the event that a copy of this information is required, please notify the office.

Security:

Data is stored in both hard copy and electronic formats, and measures are taken to actively manage and ensure the security of the data.
